Responsibilities

  • Welcoming and attending to guests, managing the telephone switchboard, providing information, coordinating visits including catering, and professionally handling inquiries and complaints
  • Processing mail and deliveries, ordering and managing office and kitchen supplies, as well as general office tasks such as scanning, copying, binding, etc.
  • Maintaining office and meeting rooms, managing office equipment, implementing safety measures (e.g., emergency plans, first aid training), and supporting collaboration with external service providers
  • Organizing travel (bookings, expense management), supporting events (planning, catering, participant coordination), as well as invoice verification and maintaining supplier and accounting data
  • Creating internal and external correspondence, maintaining policies and processes, and supporting the creation of presentations and reports

Profile

  • Proactive mindset, sense of responsibility, and flexibility within a team
  • Professional interaction with clients, visitors, and colleagues – both verbal and written - in German, English, and ideally French
  • Efficient handling of multiple tasks simultaneously
  • Confident use of Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint) and basic technical skills for everyday office tasks
  • Completed vocational training and profound experience in a comparable position, ideally in an international environment
